The club has many very committed volunteers who work tirelessly to provide soccer for the children of our community. But more are needed. Please consider whether you have the time, or can make the time, to help our kids.

Overview

Lakehill Soccer has implemented a Volunteer Participation policy similar to that of other clubs within the Lower Island Soccer Association.

This policy requires each family to either:

Option1:
Volunteer 5 hours per year to the club. With this option you provide a $100/family volunteer deposit at time of registration (separate cheque, post-dated January 1, 2010).
Option 2:
Pay the $100 Volunteer Fee. With this option you indicate on the registration form that you will not volunteer and you include a separate $100 cheque as a volunteer fee. Your cheque will be deposited on September 30, 2009. Under this arrangement you will not be contacted by the Volunteer Coordinator by email or phone to volunteer – but you will still receive email announcement from the Club.

As part of your 2009/2010 Lakehill (u5-u18) Season Registration ensure that you include a separate Volunteer Deposit cheque for $100.00 post dated January 1, 2010. This cheque will only be cashed if you either indicate on your registration that you are unable to volunteer or if you do not fulfill five hours of Volunteering during the season.

Requirements

For the 2009-2010 season the following volunteering requirements have been established:

i) Team Hours - Concession Mini through U18 Approximately 1 hr per registered player per team (teams are assigned to shifts and schedule posted in September)
ii) Team Hours - Clubhouse Senior as scheduled
iii) Family Hours - Various all members 5 hrs per family per year ($100 deposit) – sign up through Volunteer Coordinator / see posted Vacancies.

Each team may assign 4 “team volunteer positions” to their LSA members including coach, assistant coach, manager, and oranges/water volunteer.

Duties

i) Team Hours – Concession Duties

Mini, Euro, and Youth (up to / incl. U18)

  • approximately 1hr per registered player per team per year - concession workers (as organized by team coach or manager),
  • schedule is created/posted online and shifts assigned in September by Concession Scheduler,
  • teams must arrange their own shift-swaps as needed and can advise Concession Scheduler of changes,
  • email reminder sent approximately 5 days prior to scheduled shift to scheduled team by Concession Scheduler,
  • changes made by Concession Scheduler to the online schedule will be communicated to teams and Age Group Coordinator by email,
  • failure to complete shift will result in team penalty (additional assigned volunteer duties, monetary fine, field restrictions, or other).

ii) Team Hours - Evening Home-Game Clubhouse Operations

Senior Teams

  • staff & operate the concession so it is available for use by spectators during all Friday and Saturday evening (starting 4pm or later) home games at Braefoot field as per posted schedule (posted online in early September),
  • at end of shift must complete “Senior Team Volunteer Form” and place in Clubhouse mailbox,
  • failure to complete shift will result in team penalty (additional assigned volunteer duties, monetary fine, field restrictions, or other).

iii) Family Hours – Club Volunteering

Mini, Euro, and Youth – (Volunteer Deposit $100)*

  • 5 hours per family per year,
  • family must sign up for volunteer positions through and Volunteer Coordinator,
  • family reports hours worked through Team Manager,
  • $100 deposit cashed in April if 5 hours not completed by April 30th (cheques cashed September 30th for members wishing to opt out of 5 hour per family requirement),

VOLUNTEER DEPOSIT POLICY

5 hours per family per year

Note – this is in addition to Team Hours (concession shift workers as scheduled).

Effective March 1, 2009 (in respect of 2009-10 season) members will be given the following options during the registration process (select one):

  1. I chose to complete 5 hours of volunteering between May 1-April 30 (beyond 15 hour team concession requirement) - $100 posted-dated deposit cheque enclosed (post-date to Jan 1/20l0)
  2. I chose not to volunteer between Sept 1/09 – April 30/10 (beyond 15 hour team concession requirement) and understand that my $100 cheque will be posted-dated for deposit September 30/09.

Cheque details:

  • Payable to "Lakehill Soccer Association,".
  • $100 per family (please list LSA family members on cheque),
  • cheques will be destroyed once 5 hours have been completed.

Will this cheque be cashed?

No - so long as your family completes 5 hours of volunteering between Sept. and April 30 (above and beyond your team's requirement to staff the concession up to 15 hours per year).

Opting Out – “I don’t wish to volunteer”

However, you may elect not to volunteer in which case your cheque should be post dated to and will be deposited on September 30,2009. Under this arrangement you will not be contacted by the Volunteer Coordinator by email or phone to volunteer – but you will still receive email announcement from the Club.

Other Information:

  • Your registration will not be processed until your $100 Volunteer Deposit is received.
  • Volunteer hours worked in excess of your 5 hour requirement cannot be transferred to other members – i.e. your Coach (who may volunteer approx 160hours) cannot allocate a portion of his/her hours to the completion of your own 5 hour requirement.
  • Hours (5 hours) must be completed between May 1/09 and April 30/10. This deadline will not be extended.
  • April – cashing your cheque - If our records indicate that your family has not completed their 5 hours of volunteering activities you will be contacted in March. At that point the only remaining volunteering positions which will likely be available for you to complete your family hours will be at the Awards Banquet(April). Cheques will be cashed by April 30th (LSA fiscal year end).
  • Failure to pay the $100 (if you do not completed your family’s 5 hour volunteering requirement (i.e. NSF or stopped cheques, etc)) may result in suspension from the Club until paid. Fees as outlined in the registration information (i.e. bank charges, administrative fees, etc) apply and will be charged for rejected Volunteer Deposit payments,
  • You are responsible for signing up for volunteering duties and ensuring you perform your duties. LSA will not contact and remind you to sign up.

Team activities:

Each team may designate one person (any one of their choosing regardless of whether they are, for example, the official team coach) in the following five positions for the purpose of this Policy: Coach, Assistant Coach, Manager, Oranges / Water bottles, and First Aid (with minimum of completed basic first aid course / presentation of current card)

Other Included activities:

  • Concession operations (opening, closing, donuts, purchasing, weekly reminder emails, scheduler, cleaner, etc),
  • Field inspection (weekdays, weekends, scheduler, etc),
  • Assistant refereeing / lining: Youth (full-sided) games only,
  • Other positions as coordinated through Age Group Coordinator and Volunteer Coordinator and listed online vacancies filled and as listed through Volunteering webpage:
  • General field/game set up (moving / setting up nets, etc),
  • Team Hours (concession shift workers).

How does it work?

a. During Registration Process:

Indicate a preference – During the online registration process you will be asked to indicate a preference for the type of volunteering vacancy / hours of availability you wish to fill. This will assist us in sending information to you that is more likely to suit your availability.

b. Review Vacancies & Sign Up:

c. Report your hours

Once you have completed your hours report to your Team Manager who will track and remit a list for your entire team.
